Scanning a Receipt
How to Scan a Receipt
Section titled “How to Scan a Receipt”-
Open the scanner
Click Scan Receipt on the dashboard top bar or the journal entries page. A modal will open.

Upload your receipt
You have three options:
- Drag and drop a file onto the upload area
- Click “Choose file” to browse your device
- Click the camera button (mobile only) to take a photo directly

Wait for AI processing
The scanner will show progress: “Compressing image…” followed by “Analyzing receipt…”. This typically takes 10–30 seconds.

Review the parsed results
The preview shows:
- Date — when the transaction occurred
- Description — vendor/merchant name
- Line items — GL code, account name, debit, and credit for each line
- Review reasons — any items the AI flagged for your attention

Choose your action
- Click Edit & Post to open the journal entry form with all fields pre-filled
- Click Discard to go back and try a different receipt

Review and submit
The pre-filled journal entry form opens in expert mode. You can edit any field before posting.
Mobile Scanning
Section titled “Mobile Scanning”On mobile devices, a dedicated camera button opens your device’s rear camera directly. This is the fastest way to capture receipts:
- Tap Scan Receipt
- Tap the camera icon
- Point your camera at the receipt and take a photo
- The photo is automatically compressed and sent for analysis
What Happens Behind the Scenes
Section titled “What Happens Behind the Scenes”When you upload a receipt:
- Image compression — Large photos are compressed to max 1 MB (PDFs are sent as-is)
- AI analysis — The system tries up to 5 different AI models if needed
- Validation — The AI checks that debits equal credits and GL codes exist in your Chart of Accounts
- Self-correction — If the AI makes a mistake, it receives feedback and corrects itself automatically
- Storage — When you post the entry, your receipt image is saved securely with the journal entry (nothing is stored during scanning)
